Taking care of your donors is much more than just seeing who is giving and who isn’t, it is also about making your donors feel valuable. This can be achieved through effective communication with your donors. We can assist you at every level of communication with your donors. Various options are:
1. Telephone Thank You Calls
Sometimes a nice way to thank donors for their giving is to call them up and just thank them over the phone. If you wish to use this service we can arrange for the calls to be made on your behalf with a pre-arranged script, or if you wish to make your calls yourselves, we can provide you with lists of names and numbers.
2. Thank You Letters
One of the more common approaches to thanking donors is to send them a letter thanking them for their generosity. We can arrange to have your letters mailed out to your donors using the details we have for the donors on our system. If you wish, this mailing can be sent out automatically when new donors sign up.
3. Newsletters
Once you have donors setup it is important to try and maintain these donations. This can be achieved by keeping them informed as to where there money is going. We have experience producing newsletters and can arrange the entire process, from having the letters designed and printed through arranging the mail-out. If you would prefer to use your own suppliers for the print/mail-out we can provide you with a clean mailing list. We can also have the list checked against the National Change of Address database, held by Royal Mail to obtain the addresses of donors who have moved and have left forwarding addresses. We can also have the list checked against other databases such as "gone-away’s" and deceased lists. All of this can help reduce the overall cost of newsletter mail-outs. If required, we can also process returned mail when the address has been found to be incorrect or if the donor has left. This information can be used to reduce the cost of future mail-outs.
4. Corporate Communications
Donors recruited through Payroll Giving have often been recruited by fundraisers going into a donors place of work. With the information we hold we can arrange for thank you letters to go to the companies, thanking them for their support or alternatively providing with certificates / plaques to the highest performers. If you wish we can provide you with the information you require for this or alternatively we can manage the overall process to save your staff time.
With all of the above, the aim is that donors will upgrade their donations to your organisation or as a minimum, not cancel their donation or sign up with another charity.
